Running a company offsite in Kinshasa: the checklist
An offsite in Kinshasa turns on three things nobody budgets for: how people get there, how long the power lasts, and what time it really starts.

Running a working day for twenty people in Kinshasa needs method more than imagination. Here is the list in the order the decisions actually get made, from six weeks out to the morning itself.
Six weeks out
- 1.Set the date avoiding month ends, which are heavy with committees and deadlines.
- 2.Fix the real attendee count, not the invitation list.
- 3.Book the room with an hour of margin before and after.
- 4.Choose the district based on where attendees come from, not where your office is.
Three weeks out
- 1.Confirm the layout and the real seated capacity.
- 2.Order catering, with breaks priced and timed.
- 3.Check electrical autonomy across the full length of the day.
- 4.Send directions with visual landmarks, not only an address.
The week before
- 1.Test projection with the equipment you will actually use.
- 2.Confirm parking and how many spaces there are.
- 3.Have a fallback for remote speakers if the connection weakens.
- 4.Print what needs printing. Do not rely on printing on the morning.
On the morning
Arrive an hour early. Test screen, sound and connection while the room is empty. Check the temperature: an empty air conditioned room and a full one are different places after an hour.
The budget, line by line
- Room hire, by the day rather than the hour once the session passes four hours.
- Catering: breaks and lunch, ordered ahead.
- Additional equipment if the room does not cover everything.
- Printing of materials.
- Transport, if you are covering it for some attendees.

FAQ
How far ahead should you book?
Three weeks for a full day with catering. A week is often enough for a half day without meals.
Can an offsite run on a Saturday?
Yes, the space is open Monday to Saturday from 7am to 10pm, which few Kinshasa venues offer.
Should you arrange transport for attendees?
It depends on where they start from and the time. If more than half come from across town, a single meeting point simplifies the logistics.
